Email

Email is essential for communicating with your parishioners, and we’ve provided here some tips and tools for making the most out of your email communication. The Roman Catholic Archdiocese of Washington offers Flocknote accounts to all ADW  parishes. Flocknote provides a simple, effective way for all of your various ministries to communicate via text and email. The tool was created specifically for use by parishes, so it was designed to be easy to use and to meet the unique needs of parish ministry and life.

Sign up for a Flocknote account

The Roman Catholic Archdiocese of Washington has partnered with Flocknote to offer this email and texting tool to all ADW parishes. Flocknote is 100% free for all of our ADW parishes to use. To get started, each parish must have someone who is willing to introduce this service to the rest of the parish community, referred to as a “champion.” If you’d like to get your parish started with Flocknote, simply click the link below and fill out the form. STRATEGIES FOR EFFECTIVE EMAIL COMMUNICATION

Here you’ll find a few simple tips that can help improve the success of your email communication. Click here to download a printable pdf containing this information. Additionally, Flocknote’s website offers a large collection of video tutorials that you can access at any time.

Write a compelling subject line

35% of people choose to open an email based on subject line alone. Instead of something like “Note from the pastor,” you might write: “Three reasons why you can’t miss the fall ministry fair” or “New Mass times begin this month – check out the schedule.” Does your subject line make the email seem like its worth the reader’s time?

Give more value, make fewer asks

People should feel as though your emails benefit them, whether they’re looking for ways to get involved or just want to stay in the loop. Share stories about what’s going on at your parish – use this opportunity to connect with parishioners. When you add more value to people’s lives, people will respond more positively to requests.

Create a communication schedule

Set clear expectations by sticking to a schedule. Telling people they’ll hear from you “once a week” or “a couple times a month” makes your communication predictable and manageable.

Make sure it reads well on mobile

47% of email is opened on a mobile device – make sure your message is pleasant and easy to read on mobile phones.

Keep it brief

Most people skim emails and read them on the go – use bullet points, include only your most important information, and keep your message short and concise.

Create an attractive, dynamic design

Add images, videos or polls. Use Canva to create a graphic. Divide your email into sections, rather than including all information in one section. Use just one simple font style.
